What could an implementation involve?
These are illustrative project types, assessed and scoped before commitment. Feasibility depends on your tools, information and the checks the work needs.
- AI implementation and workflow automation
- Extract useful details from emails, PDFs and forms; flag missing information; prepare a reply or document for staff review; and pass approved information into a compatible business system. Explore everyday administration, enquiry and quote follow-up, and weekly business updates.
- AI assistants and business knowledge search
- Help staff ask questions of approved company documents, such as procedures or product guidance. A knowledge assistant uses those sources to prepare an answer, with references where supported. We check access permissions, source quality and how it handles missing or conflicting information.
- Customer-service chatbots
- Answer a bounded set of questions using approved information, collect enquiry details and hand unresolved requests to a person. We agree what the chatbot can say, when it must hand over and how customers reach your team.
- Custom AI agents for defined tasks
- An AI agent can carry out an agreed sequence of steps across tools, sometimes called an agentic workflow. For example, it could read an enquiry, prepare a draft record and request approval before an update. We assess permissions, action limits and failure handling; important decisions and customer commitments stay with your team.
Some projects connect an existing language model—the AI that reads or drafts text—to your workflow. This is often called LLM integration. It does not usually require training a new model. A built-in feature or straightforward automation may be the better fit.
Build a process your team can own.
- Agree the task and the starting point
- We define the inputs, outputs, systems and responsible person. I check existing licences and available connections, record how the work runs today and agree what a useful result would look like.
- Configure or build, then test
- The agreed scope can include tool setup, connections, instructions and review steps. We test representative examples, poor or missing information, duplicates and failed connections. The trial measures checking effort as well as time released.
- AI training and adoption
- I walk the team through its actual tasks: how to use the change, check outputs and handle exceptions. Pilot training and handover are included. Wider role-specific training or support for existing AI tools is a separately scoped engagement.
- Hand over the working process
- Your team gets instructions and a walkthrough. We agree account ownership, sign-off checks, a way to return to the previous process and any period for fixing faults. Ongoing support is agreed separately.
Use only agreed information.
We agree the data needed, who may access it and the chosen tool’s handling and retention settings. Start with suitable sample or redacted data where possible. An assistant should not make restricted documents available to everyone.
Keep a person in control.
AI can miss details or produce incorrect answers. We define what needs review, who approves important actions and what happens when the tool cannot complete a task. Source references help checking; they do not guarantee accuracy.
What I need from your business.
You provide a process owner, agreed access or help from your software administrator, representative examples and time from the people using the change. We agree testing, approval and training time as part of the scope. Your team approves bespoke replies, customer commitments and important business decisions. Any automatic chatbot answers stay within the questions and information approved in advance.

- We discuss the task and whether implementation, training or a paid assessment is the right next step. This is an introductory conversation, not a free audit.
- Workflow Review · £595 fixed fee
- One agreed workflow, with a process map, baseline and written recommendation/business case, plus a build quote where worthwhile. Allow 2–3 hours of customer input. Target delivery is 10 working days from the agreed start; dates and required inputs are confirmed before booking.
- Focused Pilot · from £1,500
- The starting price covers one workflow connecting two compatible systems, including training and handover. We agree exact scope, fee, access and dates before commitment. Document assistants, chatbots, agents and other more involved work need an assessment and their own quote; they are not all included at the entry price.
- Broader review or standalone training · separately quoted
- An AI Opportunity Review can assess agreed teams or processes when the best starting point is unclear. Its scope and fee are agreed before work starts, separately from the £595 review. Standalone training also has its own agreed scope and quote.
The £595 review and entry-scope pilot are separate purchases; together they start at £2,095. Software subscriptions and ongoing support have separate, agreed costs. No VAT is charged. You can stop between completed stages. See pricing and how we work.
Questions about putting AI into practice.
Can this work with our current software?
That is where I start. I check built-in features, licences, permissions and available connections before proposing extra software or custom work. Some systems have restrictions or need a different subscription. I confirm the practical options and costs during scoping.
Can AI read our PDFs and search company documents?
Potentially, but the documents need testing. Scans, inconsistent layouts, outdated guidance and restricted files can all affect suitability. We agree which sources to use, who can access them and how staff check extracted details or answers before relying on them.
Will it send replies or change records without approval?
We agree each action and its approval rules before building. Bespoke replies, customer commitments and important decisions need staff approval. A chatbot may answer agreed questions automatically using approved information; other enquiries go to a person. A workflow can prepare drafts for review, with clear limits on automated updates and a route for exceptions.
Will our staff get training?
Training and handover for the agreed workflow are included in a focused pilot. We use practical examples and explain checks, ownership and fallback steps. If you need wider AI training across roles or tools, I scope and quote that separately.
How much does an AI project cost?
Focused pilots start at £1,500 for one workflow connecting two compatible systems. The exact quote depends on the tools, information, actions and review needs. More involved assistants and agents have their own scope and price. Software and ongoing support are separate.
